IAHCSMM Presenter/Presentation Expectations

IAHCSMM Mission Statement:
The IAHCSMM mission shall be to provide the members of the Association and healthcare facilities with organized educational opportunities, professional development, a forum for information exchange, member services in response to member identified needs and priorities; and to represent Central Service Materiel Management in the professional community .

Goals:
The goals of IAHCSMM are to provide timely, accurate, and informative educational programs for its members and members of the larger healthcare community and to ensure that these programs are unbiased and free of commercialism. To assist the Association to achieve these goals, we ask that you carefully read and follow the presentation requirements identified below. Your cooperation in complying with timeline expectations is crucial to the success of the planning process.

Letter of Proposal Acceptance:
If your program proposal is accepted, a letter of acceptance will be sent to you in August 2008 . That letter will include a timeline for planning and preparation. If you agree to meet the timeline and wish to present at the 2009 Orlando Meeting, the letter must be signed and returned to IAHCSMM within 4 weeks of its receipt. In the case that chosen presenters do not reply within 4 weeks, the letter of acceptance will be revoked and another presentation will be chosen. Presenters who do not comply with timeline expectations will be replaced.

Content, Handouts, and Teaching Materials:

  1. Presenters are required to use PowerPoint format for their presentations and they are required to submit handouts. IAHCSMM will provide a PowerPoint template for each presentation. Presenters must submit all slides/handouts that will be used in the presentation for review by IAHCSMM’s Professional Resource and Development Committee (PDRC) by the date listed in the acceptance letter. The deadlines will be adhered to closely and no extensions will be provided so plan your time accordingly. Speakers who do not provide their materials within the specified timeline and according to established guidelines will be removed from the meeting program and replaced with another speaker.
  1. Each presentation must be original and must not have been presented at any other educational program prior to the 2009 Orlando Meeting.
  1. Once a presentation has been submitted for approval, no changes may be made in the program or handouts without written consent of the IAHCSMM PDRC. If a major regulatory, technological, or standards change takes place after the presentation has been submitted, the presenter must submit a request to make changes to the PDRC in writing. Changes will only be allowed with PDRC approval.
  1. Sales presentations will not be accepted. Presenters who plan to address common products or services are encouraged to develop presentations that do not strongly show preference (in text or graphics) to a single company’s product or service. Presentations that depict competitors’ products or services in a negative manner will not be permitted.
  1. Presenters will be allowed to verbally acknowledge their sponsor one time during the presentation and will be allowed to add one slide to their presentation that thanks their sponsor or depicts a company logo.
  1. IAHCSMM sessions are strictly for educational purposes. Presenters will refrain from discussion or depiction in their handouts or slides that reflects positively on their products or negatively on their competitors’ products.
  1. In addition to their handout materials, Presenters will also submit a color photo of themselves in electronic format to be used in promotional materials. .

Presentation:
The presentation will be monitored by two (2) IAHCSMM-approved monitors. They will insure that the presentation follows the content that was approved by the IAHCSMM PDRC and does not deviate from the approved format. They will also monitor question and answer sessions to insure compliance with speakers’ guidelines.

For quality purposes, IAHCSMM reserves the right to audiotape presentations. (Presentations will not be sold or offered to the public.) All speakers must sign a release permitting IAHCSMM to audiotape their presentation.

Presenters who fail to follow guidelines and deviate from their approved format will receive a letter of reprimand addressing the deviation or break in format. Presenters who violate presentation expectations a second time will not be permitted to speak at IAHCSMM meetings for 3 years and will not be eligible to receive CE approval for regional IAHCSMM Chapter Meeting presentations during that time frame.

All speakers will acknowledge receipt of the IAHCSMM Presenter/Presentation Expectation document and their commitment to follow the guidelines by signing and returning one copy to IAHCSMM.

Presenters will receive a complimentary registration to the Orlando Meeting. All other expenses (i.e. travel, lodging, etc.) are the responsibility of the Presenter.
